Accessing Manage Attendees

Access to Manage Attendees will be visible throughout the site from the following areas:

  • From Manage Training, via the row action menu.
  • From the Program’s preview page, under the tab Session: Enroll/Launch for each session.

Manage Attendee Breakdown

The Manage Attendees form focuses on a specific session at one time. Upon accessing this form, you will be prompted to locate the program ID, and subsequently the ID of the session. Once both dropdowns have been populated with the session detail, additional cards will appear.

The top card, Selected Session Details, will showcase the Program and Session ID along with:

  • Session Enrollment Start, Session Enrollment End
  • Session Start, Session End
  • Venue
  • Enrollment: Number Enrolled, Seats Available, Number of users Waitlisted

This top card will also include a dropdown Export Data, including actions to:

  • Download Certificates
  • Export Associated Users (to csv or excel)
  • Print Sign In Sheet
  • Export Sign In Sheet (to csv or excel)
  • View Raw Data report (specific to events using our Integration framework)
  • View Completion Data report (specific to events using our Integration framework)

Tip! The Associated Users export will return all professionals with a status in the session. The Sign In Sheet will only display professionals with a status of Enrolled or Waitlisted.

 

The second card showcases the filters available to locate your professionals. Filter by:

  • Session Record Status
  • Jurisdictions
  • User Groups

Use the More Filters button available, to further filter your professionals by Status or Custom Fields defined by your organization.

 

The last card on the Manage Attendees form will include a user table, including a tab to see professionals associated to the session, under Associated Users. The second tab will allow administrators to Find Users in an effort to apply an action as it relates to the session selected.

 

Selecting Users

Selecting users can be performed individually by selecting the checkbox next to the individual’s name. Or, to select an entire page of professionals, use the select all check box on the table.

The Bulk Select by Email button can be used if you wish to select a group of professionals at once. To use this tool, comma separate your professionals by email address. Select Bulk Select on [x] email addresses to officially submit.

Use the Selection Tools button to quickly:

  • Select all users matching filters
  • Show only those users selected
  • Unselect all users

 

Applying Actions

Once your professionals have been chosen, administrators will have access to the following actions:

  • Invite
  • Pass with Full Credit
  • Pass with Custom Credit
  • Pass with Instructor Credit
  • Pass with Technical Review Credit
  • Fail
  • No Show
  • Unenroll
  • Enroll
  • Incomplete
  • Send Evaluation
  • Waitlist
  • Send Email

After choosing the desired action, a modal will appear with the summary of the action you are about to perform. For actions where a notification can be triggered, you will have the option to toggle Send Emails from off, to on.

 

Sending Emails

When choosing to send an email to your selected group of professionals, a few options will be available to you.

  • Specify the notification type for the related action.
  • After choosing your notification type, specify the notification template you wish to send to your professionals.
  • After both type and template have been selected, you can choose to modify and preview the notification or simply choose to apply the action and send the notification by selecting Submit.
  • Once submitted, a green success message will appear confirming your action was submitted to the queue.

Queue Tasks

Progress for submissions sent to the queue, will be visible on the top of the Manage Attendees form including the number of records which are Pending, those that are In Progress and any which have Failed. While this page will refresh these numbers automatically, you can also use the Refresh option to update at your leisure.

 

Associated Users: Available Actions

For all session statuses other than Passed with Full Credit, Custom Credit, Instructor credit, you will have access to Add Note or Add Certificate. Both actions will open a modal to allow you to add the note or upload the certificate.

For session statuses of Passed with Full Credit, Custom Credit, Instructor credit, or technical review credit you will have access to View Credit, View Certificate or Overwrite Certificate.

  • View Credit: allows you to review how credit was issued to this particular professional and their jurisdictions. From this modal, you can choose to Edit and modify further.
  • View Certificate: opens a new tab with the Certificate issued to the professional.
  • Overwrite Certificate: opens a modal to allow you to replace the certificate issued to this professional.

Associated Users: Reset SCORM Progress

For sessions where the content is a SCORM package, and where a professional has a status of Failed or Incomplete, administrators will have access to the action Reset SCORM Progress. This action will be accessible within the row action menu, available on the row for that particular professional. This functionality is currently not available to perform in bulk and is only accessible on a per user basis.

To reset SCORM progress, select Reset SCORM progress and check the box acknowledging that the impact of processing this action is understood. Checking this box will activate the Submit button so that the request can be processed. Upon selecting Submit, the action will be processed.

Please note that resetting a professional's progress in a SCORM course cannot be undone; once processed that professional's SCORM history will be cleared and they will begin at the start of the course upon launch.

This action can trigger a notification to the professional, if needed. To send a notification at the time the action is processed, ensure Send Emails is adjusted to On in order to specify your email template, then preview and modify as necessary before selecting Submit.
