What is a Learning Plan

Learning Plans are a collection of organized training programs curated to be easily accessible to professionals. Administrators can customize in terms of structure, sequence, requirements, timeframe, and milestones for completion, depending on the type of training offered.

Learning plans are built off of Milestones which have either a session or credit requirement. To be marked complete for a milestone, you must complete the designated session or credit requirements. In some cases, your milestone may not have a session or credit requirement. Milestones without a requirement are called Elective milestones and programs offered in this section are not required to complete the overall learning plan.

Within each milestone requirement, your administrator has intentionally linked a selection of Available Programs. These programs are valid towards completing your milestone requirement.

Dependent on the structure of the learning plan, you may be required to register for all requirements at the time of engaging with the learning plan. In the case of enforced registration, you will be required to register for all requirements at once, in order to successfully submit registration. Alternatively, your administrator may decide that registration is not a requirement. In the case of non-enforced registration, you will have access to enroll in the available sessions at your leisure. In the case of disabled registration, you will not be required to engage with registration at all.

Understanding Learning Plan Data

Whether locating a learning plan for the first time, or returning to an in progress plan, take note of the data that may be visible.

  • Badge label
    • Assigned:  in cases where you have been assigned to a learning plan, an Assigned badge will appear on the main learning plan form
  • General Information
    • Name of learning plan
    • ID for learning plan
    • Sponsor of learning plan
    • Description of learning plan contents
    • Length of learning plan
    • Tags: highlighting important categories the plan applies to; and visible only if designated by your administrator.
    • Start, End, Due Dates: When dates are added to a learning plan, you must complete your registered sessions within that designated timeframe.
    • Is Registration Enforced? When true, you will be required to register for all milestone requirements up front.
    • Is the Milestone Order Enforced? When true, you will be required to complete each milestone requirement in order.
  • Additional Information
    • Learning Objectives defined for learning plan

Find a learning plan

Learning Plans can be located in the following areas. 

  • Dashboard. Review the Upcoming Learning Plan Deadlines widget to review any upcoming due dates for learning plans which you have registered for or have been assigned. For more on this widget, please visit our article here.
  • My Learning. If this left-hand menu has been enabled by your organization, you can locate any learning plans that:
    • have been assigned to you
    • where registration has been started
    • where you have chosen to Add to My Learning. For more on the My Learning menu, please visit our article, here.
  • Program Catalog: Learning plans which have been added to your catalog, can be located by Name, ID or through any filters available. Once a learning plan is located, select the learning plan name to navigate to the preview page for further review.

 

Registration 

How do I start registration?

To begin, click the Register button. This button will be visible from the following areas:

  • My Learning: button appears only when registration is enforced. Register will direct you into the registration workflow. 
  • Learning Plan Preview: If accessing a learning plan from the Program Catalog, the option to Register will appear on the top right of the learning plan preview page. If you have already started registration, this button will say Update Registration. Both actions, Register and Update Registration, will navigate you into the registration workflow.
  • View Details. If reviewing your enrolled items from the details page, an option to Update Registration will exist on the top right of the form. Update Registration will navigate you into the registration workflow.

What does it mean for registration to be enforced?


During the creation of a learning plan, your administrator may decide to enforce registration.

  • Enforced Registration: If enforced, you will be required to enroll in all required sessions or credits designated per milestone. You will be required to register for the entire learning plan in order to submit registration and begin taking the sessions available. In the event that you no longer wish to continue with registration, you will be presented with a warning indicating the consequences of abandoning. If registration is abandoned, any enrollments submitted to that point will be cancelled.
  • Non-Enforced Registration: When registration is not enforced, the Register button can be used to review what else is offered within the learning plan. You will not be required to register in full when registration is not enforced.
  • Disabled Registration: If your administrator has disabled the registration workflow, you will not be required to pre-select your sessions in order to engage with the learning plan. Instead, all sessions that are available to complete your learning plan requirement, will be visible from the Learning Plan Preview page, and your Learning Plan Details view. Select the program to review the sessions available. The program link will direct you to the program's preview page where you can choose your session, enroll and access the content.

Registering

To access the registration workflow, select the Register button. At the top of the form all milestone requirements will be exposed. Each milestone icon can be clicked to allow you to easily navigate through the registration workflow.

Each milestone form will contain:

  • the name of the milestone, and any description if added
  • your registration progress: items you have chosen to enroll in out of the required number of sessions or credits
  • your milestone status: Not Registered or Registered
  • any milestone date restrictions, including Start Date, End Date or Due Date; visible only if added

Understanding the Available Programs table

The bottom half of the form will include a section to locate programs by catalog, field of study, delivery method, and selection of other filters. Please note that this card can be collapsed. Below the filter section of the form, you will find a section for the Available Programs. These are programs which have been intentionally linked to this Milestone and can be completed towards the requirement.

To review details about the programs available, select the View Detail link next to the program's name. This link will open a modal containing information about the program.

To select a session from the Available Programs table, select the View Sessions button. This action will trigger a modal of all sessions that are valid to complete your requirement. Select to submit enrollments; unselect to choose an alternate offering. Your milestone registration progress bar will update immediately as you register for sessions towards the requirement.

Review Summary

Once you have chosen sessions to meet the milestone requirement, select Next Milestone on the bottom right of the form, or select the next milestone via the icon, at the top of the page.

Once all sessions have been selected for each milestone requirement, navigate to the Review Summary. This page is the final form in this workflow and highlights all sessions chosen during registration.

The Review Summary form will highlight the learning plan's name, ID and sponsor along with the overall requirements across all milestones. The form will include a section for each milestone requirement along with a session card for each enrollment chosen.

To submit registration and enrollments for the learning plan, select Complete on the bottom right of the form. Take note that the Complete button will only be active, when the requirements have been met to fully register.

NOTE: For learning plans where registration is enforced, you must submit registration via the Complete button on the Review Summary page. This action will process all enrollments selected. You will only be enrolled in requested items if this action is submitted.

For learning plans where registration is not enforced, enrollments will be submitted as they are selected from each milestone.

Auto Register for a Learning Plan

In some cases, an administrator may configure a learning plan to trigger auto-registration. When this occurs, you will be auto-registered for milestones where the requirements match exactly with the sessions available. For example, if your learning plan contains a milestone requirement of 5 sessions, where only 5 sessions are available, you will be auto-registered for that milestone and moved to the next step in the workflow. Please note, session enrollments will only be processed upon selecting Complete within the Review Summary page for the learning plan.

Here are some best practices to keep in mind during registration:

  • you can be auto-registered for milestones shown in blue with a check mark, that display text Auto-Enroll.
  • you must manually register for a milestone shown in white.
  • in cases where you can be auto-registered for all milestone requirements, you will be navigated directly to the Review Summary page; select Complete to submit registration.
  • in cases where the learning plan contains a variety of milestones where only some meet the criteria for auto-registration, you will be navigated to the next milestone which requires manual enrollment. Upon registering for all milestones, you will be navigated to Review Summary, select Complete to submit registration.
  • at any time during the registration process you can select the milestone icon to review the specific sessions linked to that requirement.

Deleting Registration

During the registration process for a learning plan, you will have the ability to delete your registration. Please note, deleting registration will unenroll you from any sessions chosen during the registration process. Any sessions chosen outside of the registration process, as well as any completed records, will continue to remain intact even when registration is deleted for a learning plan.

View your learning plan details

After registering for a learning plan, you will be re-directed into an updated view of your learning plan. This view will expose all session enrollments chosen to complete the learning plan's requirements. 

The top of this form will contain two tabs housing General and Additional Information specific to the learning plan, including Name, ID, sponsor, description, learning objectives, and more.

The bottom half of this form will highlight each milestone requirement in a tabbed view. Each tab will contain information about that milestone including name, date restrictions and your overall progress to complete that requirement. Overall progress will update immediately as sessions are completed towards the milestone requirement.

Within each milestone table you will find a list of all sessions that were chosen during the registration process.

  • if the session is launchable, you will have access to launch the content and complete
  • as session status changes, the session card will update to reflect your status
  • as session status changes, your overall completion progress, both learning plan and milestone completion progress, will be updated
  • all session enrollments will be displayed within this table so it is clear what is next to take
  • in cases where milestone order is enforced, you will be prohibited from launching content in the subsequent milestone until your current milestone is complete
  • in cases where program order is enforced, you will be prohibited from launching the subsequent session on your Enrolled Sessions table, until the current session is complete

To move to the next milestone requirement, simply select the next tab and review the next set of enrolled sessions available.

NOTE: At any time you can choose to update your registration. In cases where a session is no longer valid or has already passed, select Update Registration to identify whether another session is available to take towards that milestone requirement.

 

Alerts and Info Messaging

Throughout the registration workflow and during the course of completing a learning plan's requirements, the system will attempt to expose any issues that may occur as you work to complete the learning plan requirement. Potential issues and definition on warnings exposed:

  • Date Requirements. In cases where a start/end date has been applied to the requirement, or when a specific due date has been assigned, you will be warned that your session(s) must be completed within the designated timeframe.
  • Expired or Closed Sessions. In cases where your enrolled session is no longer launchable, a message indicating expiration, will be visible on the session card. In these cases where a session is no longer valid to meet the requirement, select Update Registration to locate an alternate offering.
  • Past Due Dates. In cases where a requirement due date is in the past, a message will be displayed highlighting a past due date.
  • Multiple Session Enrollments. During learning plan registration you will have access to enroll in multiple sessions of a program, but will continue to be restricted from passing more than one session of a program. In cases where you have already passed a session, a warning will appear indicating an alternate session of that program cannot be passed and cannot count towards the milestone requirement.
  • Invalid Content During Registration. During registration, session content that is no longer valid to meet the requirement will be hidden from the Available Program and View Sessions modal.
  • Insufficient Content Available. We will expose a warning during registration if the content made available in a learning plan is not sufficient to complete the learning plan requirement. In these cases, we recommend contacting your administrator.
